The challenge
A departure is forty conversations happening at once.
Every group departure means chasing dozens of travellers for documents, confirming payments, answering the same logistics questions individually, and relaying every change to everyone. It all lives in one spreadsheet and one person’s WhatsApp, and it works right up until that person is unavailable.
The questions repeat per traveller rather than per group — the meeting point, the baggage allowance, what to bring, when the balance is due — so a single departure generates hundreds of near-identical messages that all have to be answered by hand.
- Documents and payments chased individually, by hand
- The same logistics questions answered dozens of times per departure
- One person holding an entire departure in their phone and a spreadsheet
What we built
One record per departure, and an assistant that answers per traveller.
The CRM holds the departure; the assistant absorbs the repetition it generates.
Intelligent ERP & CRM
Each departure is one record with every traveller, document and payment attached. Outstanding documents and balances surface on their own, so chasing is a glance rather than an audit.
- One record per departure, with every traveller attached
- Outstanding documents and balances surfaced automatically
- Traveller files reused across departures
- Departure profitability and fill rate at a glance
AI receptionists & chatbots
Answers each traveller’s logistics questions individually from the departure’s own details, sends document and payment reminders, and escalates anything genuinely unusual to the coordinator.
- Logistics questions answered per traveller, instantly
- Document and payment reminders sent automatically
- Changes relayed to everyone on the departure
- Darja, French and Arabic, voice notes included
Custom websites
A site where each departure has its own page with dates, inclusions and remaining places — so enquiries arrive already informed.
- A page per departure with real remaining places
- Enquiry and reservation request on the page
- French, Arabic and English from one build
- The assistant available on every page
Modeled results
What the model shows
Modeled across a season of group departures, holding departure count and group size constant.
These figures are modeled for an illustrative operator of this size. They are not measured results from a named client.
What this looks like for you
Group travel does not scale by hiring — it scales by removing the per-traveller repetition. Once the departure is a record rather than a spreadsheet, one coordinator can run several at once.
