The challenge
The phone stops at 18:00. The messages do not.
The clinic answers its phone and its DMs during opening hours, and answers nothing outside them. But patients write when they are free — after work, late at night, on a Friday. Saturday morning starts with a backlog of questions that are two days old, sent to people who have already booked somewhere closer.
The receptionist is also the person checking patients in and taking payment, so even during opening hours a message can sit unread for an hour. Nobody can quantify the damage, because an inquiry that never got a reply leaves no trace in the agenda.
- New-patient inquiries left unanswered overnight and over the weekend
- The same treatment and price questions typed out by hand, dozens of times a week
- Bookings taken verbally and written down twice — once on the phone, once in the agenda
What we built
One assistant on every channel, one record behind it.
Two of the three services, working as one system. Live in under a week.
AI receptionists & chatbots
The assistant picks up every message on WhatsApp, Instagram and the site widget, at any hour, in darja, French or Arabic — including voice notes. It answers treatment and preparation questions, asks what it needs to know, offers real open slots, and confirms the booking inside the conversation the patient started.
- Replies in seconds, day or night
- Books, confirms and reschedules directly in the agenda
- Screens for urgency and alerts the practice when a case cannot wait
- Hands over to a human the moment the patient asks for one
Intelligent ERP & CRM
Every conversation lands against a single patient record, so the second visit starts where the first one ended. The practice sees the day’s bookings, the week’s revenue and the patients who have not been back — without exporting anything.
- One shared agenda across both practitioners
- Full conversation history per patient
- Automatic confirmations the day before
- Plain-language questions instead of reports
Modeled results
What the model shows
Modeled over a quarter, holding inquiry volume constant — the change comes from answering, not from more marketing.
These figures are modeled for an illustrative clinic of this size and channel mix. They are not measured results from a named client.
What this looks like for you
If your clinic already gets more messages than the desk can answer the same hour, the growth is not in more marketing — it is in replying to what you already receive. That is the part we automate first.
